Give the job a stable identity.

Use one project name or identifier across the pipeline, estimate, document folders and field reports. It should be possible to follow the job without guessing which version of a customer name someone used.

Design the handoffs before the automation.

Write down what must happen between stages and who confirms it. An automation is useful only when the trigger, required inputs and next owner are clear. Begin with the most repeated handoff and keep an exception path for work that needs human judgment.

Make closeout part of the workflow.

Build the final record as the project progresses. Approved scope changes, key photos, product information and completion documents are easier to organize when they are captured at the source. A closeout checklist then confirms the record instead of trying to reconstruct it.
