Lead with what changed.
Open the update with work completed since the last report and the next planned activities. Choose a small set of photographs that explain the progress. Captions should identify the location and what the viewer is seeing.
Separate information from decisions.
Place owner decisions in a dedicated section with the question, available options and the date an answer is needed. Explain the consequence for the plan if the decision moves. This keeps important requests from disappearing in a general progress narrative.
Maintain a consistent rhythm.
Use the same headings from one report to the next: completed work, upcoming work, open issues and decisions. Link to the current project record. Consistency makes an update easier to scan and helps the owner see movement over time.
